Introduction

In HvA Timetables you can view, download and connect your timetable to calendar applications such as Microsoft Outlook, Google Calendar, Apple Calendar or a calendar app on your smartphone.

You can compile your timetable by joining timetables from various courses, groups or other students into one timetable. You can also choose the corresponding group for each course. Sometimes your timetables are added automatically. Depending on your institution's settings, you might not have access to all features.

This help page explains how HvA Timetables works. If you have any questions, please refer to this help page first. If not, then please contact the Service Desk at your site for help in dealing with technical or non-technical problems, or incorrect timetables.

Logging in

You can log in to HvA Timetables. Once you are logged in, your preferences are saved and you can connect your timetable to calendar applications. When you are using HvA Timetables as a guest, your preferences won't be saved. So we advise you to log in by clicking Log in and entering your user name and password.

(Visually) impaired users

We recommend users with a (visual) impairment to use the mobile view. This view has been adapted to work with screen readers and braille display, and is keyboard operated.

The below screenshot shows an overview of the HvA Timetables web page. Hover the mouse over the image to find out about the application's features. Click a highlighted element to quickly go to the corresponding part of the help page.

  1. Activities in your timetable.

Consulting timetables

To view a timetable it should first be added to the list on the right of the screen. That way, you can create your own personal timetable from different timetables (for example from groups, courses or students), which will collectively display in the calendar.

Please see below for the various possibilities. Depending on your institution's settings, you might not have access to all features.

Adding timetables

You can add various timetables (from a group or course, for example) to create your personal timetable. To add a timetable, click the button Add timetable and select the type of timetable you want to add. You might be able to choose from several years of study. In that case, first, choose a year of study from this menu and then the preferred timetable type.

In the displayed window, you can find timetables of your preference.

Finding timetables

You can start searching by entering a query. For example: a query could be a (part) of the course or group name. After you have entered a query in the search field, a list of matched timetables appears. Please note that you usually need to enter a few letters before search results are displayed. You can find the minimum amount of letters above the search field for the query.

Based on the type of chosen timetable, you can further refine your search results using the drop-down menus. Here you can select a department or programme of study. If you use these menus, you are not required to enter a query.

When you have found the correct timetable, check the box in front of the title and click Add timetables. After you have added the timetables, click Close. You can also add multiple timetables at once by checking several boxes.

Choosing groups

Some timetables allow you to choose a group per course. This way, you only see classes that belong to your group. When possible, a group selection screen will display automatically after clicking Add timetables.

Maximum number of enabled timetables

When you add many timetables of the same type, they can't be enabled all at once. This prevents the application becoming too slow to work with. If you choose too many timetables, new timetables are still added but they will be disabled and a message will show. You can enable a disabled timetable in the list of all added timetables. For this, you need to disable another timetable of the same type. Please refer to Personalizing your timetable for more information.

Viewing timetables

You can view your timetable in several ways: there is a day, week, month and list view, which you can switch using the tabs in the top of the window. In each view you can click an activity to view details.

Selecting a different date

The various views contain three navigation buttons in the top bar. Depending on the chosen view, you can use this to browse the days, weeks or months. The button Today brings you back to the current day quickly. Do you want to quickly jump to a specific date? Use the calendar in the lower right of the screen.

List view options

The list view contains additional options in the drop-down menu you can access using the Menu button button in the top bar. The Combine per day of week option combines all selected weeks into one weekly timetable. An additional Weeks column will be displayed, showing in which weeks the activity takes place.

The Overlapping activities option allows you to highlight overlapping activities or to display overlapping activities only. This way you can quickly see whether you can attend all classes.

Publication data and concept classes

It could be that your timetable doesn't yet contain all of your activities or that certain activities are not yet final. Your institution decides when timetables are published and when activities are final. Please note: Final timetables might still be changed.

Personalizing your timetable

On the right of the screen, you find a list of all timetables comprising your personal timetable. Here you can enable and disable timetables by checking or unchecking the box. Some timetables can't be disabled however, for example when a timetable has been added automatically.

You can use the Menu button to configure various timetable options. Sometimes it allows you to choose a group or filter a timetable to only show activities of a certain type, for example exams. The exact available features are determined by your institution's settings. This means you might not have access to all features.

Removing timetables

On the right of the screen, you find a list of all timetables comprising your personal timetable. Click the Menu button and Remove to remove a timetable.

Some timetables can't be removed, for example when a timetable has been added automatically. Course timetables that are part of a different timetable, can't be deleted separately either. You can hide activities from this timetable by unchecking the checkbox in front of the course.

Room timetables

Room and building timetables are available via the location view. The location view works similarly to the regular timetable view. In this separate view, you can also view a room's availability.

To go to location view, click Location view from the menu in the top right of the window. By clicking Timetable view from the same menu, you return to the regular timetable view.

Mobile website

HvA Timetables has a mobile website optimized for small screens. Go to https://rooster.hva.nl/m to view the mobile site. When viewing HvA Timetables on your mobile phone, the mobile website is displayed automatically.

Connecting smartphone or tablet

Using HvA Timetables you can synchronise your timetable with the calendar app on your smartphone or tablet. This way, timetable changes will appear in your calendar automatically. See below for a description of how to connect your timetable to your calendar app for each type of smartphone or tablet.

Android

In Android you can connect your timetable to the Google Calendar app. To do this, you need to configure connection of your timetable to your Google account on a computer once. Please refer to Google Calendar for instructions. If you are logged in with your Google account on your smartphone or tablet, your timetable will appear in your Google Calendar app after connecting your timetable.

iPhone/iPad

Follow these steps to connect your timetable to the Calendar app on your iPhone or iPad:

  1. Open Safari on your iPhone or iPad.
  2. Go to the mobile website at https://rooster.hva.nl/m.
  3. Log in with your account.
  4. Tap the menu button Menu button in mobile interface.
  5. Choose Connect to calendar app.
  6. Tap Connect to calendar app in the displayed screen.
  7. Your iPhone or iPad will now ask for confirmation. Click Subscribe to add your timetable as a calendar to the Calendar app.

Disconnect

Follow these steps to disconnect your timetable from the Calendar app on your iPhone or iPad:

  1. Go to your iPhone or iPad Settings app.
  2. Choose Mail, Contacts, Calendars.
  3. Choose Subscribed calendars.
  4. Choose the calendar to disconnect and click Delete account.

Please note: Unchecking your timetable in the Calendars menu in the Calendar app, won't disconnect your timetable from your phone! The app will continue to refresh your timetable in the background, using up data from your mobile plan.

If your timetable is not in the Subscribed calendars list, it is probably connected through iCloud. Timetables connected through iCloud can only be disconnected using Apple Calendar on your Mac. Click here to see how.

Windows Phone

Connect using Outlook.com

Click here to find out how to connect your timetable to Outlook.com. If you added your Outlook.com account to your Windows Phone, your timetable will appear in the calendar app after connecting. Follow these steps if you haven't yet added your Outlook.com account to your Windows Phone:

  1. On your Windows Phone, swipe left from the Start menu to the app list and choose Settings. Next, choose email & accounts.
  2. Choose Add an account and then Outlook.com.
  3. Enter your e-mail address and password, and choose Sign in.

BlackBerry

Unfortunately, it's not possible to connect your timetable to your BlackBerry. You can use the mobile website to check your timetable. To do this, go to https://rooster.hva.nl/m.

Other smartphones

You can also connect and disconnect your timetable on several other smartphones. See your smartphone's manual for instructions on how to add and remove calendar subscriptions.

In HvA Timetables, you can find the URL needed to connect your timetable by clicking the button Connect calendar Connect calendar. Next, click Other. The link you need is located in the text box and starts with https://rooster.hva.nl/.

Connecting calendar applications

Using HvA Timetables, you can connect your timetable to calendar applications such as Microsoft Outlook, Google Calendar or Apple Calendar. This way, timetable changes will appear in your calendar automatically. Please see below for instructions on how to connect your timetable to each application.

Microsoft Outlook 2016 (PC)

Follow these steps to connect your timetable to Microsoft Outlook 2016 for Windows:

  1. Go to https://rooster.hva.nl/ in your web browser.
  2. Click the button Connect calendar Button.
  3. From the menu, choose Microsoft Outlook.
  4. Check your preferred options and click the button Connect calendar.
  5. If your browser prompts you to confirm, please click Confirm.
  6. Outlook opens, asking you whether to add the internet calendar. Click Yes to connect the calendar to Outlook.

Connecting manually

You can also connect your timetable to Microsoft Outlook 2016 for Windows manually. To manually add your timetable as an internet calendar, do the following:

  1. Go to https://rooster.hva.nl/ in your web browser.
  2. Click the button Connect calendar Button.
  3. From the menu, choose Other.
  4. Copy the URL starting with https://rooster.hva.nl/ from the text box.
  5. Open Microsoft Outlook.
  6. Go to calendar view by clicking the button Calendar Button in the bottom left of the screen.
  7. Click Open calendar and From internet.
  8. Paste the URL you just copied into the text box and click OK.
  9. Click Yes to add the internet calendar to Outlook.

  1. Open Microsoft Outlook.
  2. Go to calendar view by clicking the button Calendar Button in the bottom left of the screen.
  3. You can find your connected timetable under Other calendars. Right click the calendar to disconnect.
  4. Click Delete calendar.
  5. Click Yes to disconnect the internet calendar from Outlook.

Unfortunately, it is not possible to connect your timetable in Outlook 2016 for Mac.

Microsoft Outlook 2013 (PC)

Follow these steps to connect your timetable to Microsoft Outlook 2013 for Windows:

  1. Go to https://rooster.hva.nl/ in your web browser.
  2. Click the button Connect calendar Button.
  3. From the menu, choose Microsoft Outlook.
  4. Check your preferred options and click the button Connect calendar.
  5. If your browser prompts you to confirm, please click Confirm.
  6. Outlook opens, asking you whether to add the internet calendar. Click Yes to connect the calendar to Outlook.

  5. Open Microsoft Outlook.
  6. Go to calendar view by clicking Calendar in the bottom left of the screen.

  8. Paste the URL you just copied into the text box and click OK.
  9. Click Yes to add the internet calendar to Outlook.

Unfortunately, it is not possible to connect your timetable in Outlook 2011 for Mac.

Follow these steps to connect your timetable to Microsoft Outlook 2010 for Windows:

  1. Go to https://rooster.hva.nl/ in your web browser.
  2. Click the button Connect calendar Button.
  3. From the menu, choose Microsoft Outlook.
  4. Check your preferred options and click the button Connect calendar.
  5. If your browser prompts you to confirm, please click Confirm.
  6. Outlook opens, asking you whether to add the internet calendar. Click Yes to connect the calendar to Outlook.

  5. Open Microsoft Outlook.
  6. Go to calendar view by clicking Calendar in the bottom left of the screen.

  8. Paste the URL you just copied into the text box and click OK.
  9. Click Yes to add the internet calendar to Outlook.

Follow these steps to connect your timetable to Outlook.com:

  1. Go to https://rooster.hva.nl/ in your web browser.
  2. Click the button Connect calendar Button.
  3. From the menu, choose Other.
  4. Copy the URL starting with https://rooster.hva.nl/ from the text box.
  5. Go to Outlook.com.
  6. Go to calendar view by clicking the menu button and choosing Calendar in the top left of the screen.
  7. Click Import on the top of the menu.
  8. Choose Subscribe from the left menu.
  9. Paste the copied URL into the Calendar URL text box.
  10. Type 'Timetable' in the Calendar name text box.
  11. Click Subscribe to add the calendar.

Follow these steps to disconnect your timetable from Outlook.com:

  1. Go to Outlook.com.
  2. Go to calendar view by clicking the menu button and choosing Calendar in the top left of the screen.
  3. Click the gear icon in the menu on the top right of the screen and choose Options.
  4. Your connected timetable is located under Edit your reminder and calendar settings. Click your connected timetable.
  5. Click Delete in the top bar.
  6. Click Unsubscribe.

Apple Calendar

Follow these steps to connect your timetable to Apple Calendar:

  1. Go to https://rooster.hva.nl/ in your web browser.
  2. Click the button Connect calendar Button.
  3. From the menu, choose Apple Calendar.
  4. Choose your preferred options and click the button Connect calendar.
  5. If your browser prompts you to confirm, please click Confirm.
  6. Apple Calendar opens, asking you whether to add the internet calendar. Click Subscribe.
  7. Check whether the Auto-refresh feature is enabled so timetable changes will be implemented automatically.
  8. Click OK to add the internet calendar.

Connecting manually

You can also connect your timetable to Apple Calendar manually. To manually add your timetable as an internet calendar, do the following:

  1. Go to https://rooster.hva.nl/ in your web browser.
  2. Click the button Connect calendar Button.
  3. From the menu, choose Other.
  4. You can choose your preferred options from the displayed window.
  5. Copy the URL starting with https://rooster.hva.nl/ from the text box.
  6. Open Apple Calendar.
  7. Choose the option New Calendar Subscription from the File menu.
  8. Paste the URL you just copied into the text box and click OK.
  9. Check whether the Auto-refresh feature is enabled so timetable changes will be implemented automatically.
  10. Click OK to add the internet calendar.

  1. Open Apple Calendar.
  2. You can find your connected timetable in the calendar list. If you're not able to see the calendar list, click the button Calendars first. Right click the calendar to disconnect.
  3. Choose Delete.

Google Calendar

Please note: It might take a few hours for timetable changes to take effect in Google Calendar. You can check https://rooster.hva.nl/ for an updated timetable anytime.

Follow these steps to connect your timetable to Google Calendar:

  1. Go to https://rooster.hva.nl/ in your web browser.
  2. Click the button Connect calendar Button.
  3. From the menu, choose Google Calendar.
  4. Choose your preferred options and click the button Connect calendar.
  5. You will now be redirected to Google Calendar. Log in with your Google account, if you hadn't done so already.
  6. Google Calendar will ask you whether to add your timetable as a calendar. Click Yes, add this calendar.
  7. Your timetable has now been added to Google Calendar under Other calendars. It might take a few minutes for your timetable to load.

Connecting manually

You can also connect your timetable to Google Calendar manually. To manually add your timetable as an internet calendar, do the following:

  1. Go to https://rooster.hva.nl/ in your web browser.
  2. Click the button Connect calendar Button.
  3. From the menu, choose Other.
  4. You can choose your preferred options from the displayed window.
  5. Copy the URL starting with https://rooster.hva.nl/ from the text box.
  6. Go to Google Calendar.
  7. Click the Other calendars drop-down menu in the left bar.
  8. Select Add by URL.
  9. Paste the URL you just copied into the text box and click Add calendar.

Disconnect

Follow these steps to disconnect your timetable from Google Calendar:

  1. Go to Google Calendar in your web browser.
  2. Click the Other calendars drop-down menu and click Settings.
  3. Find your connected timetable and click Disconnect.

Choosing synchronised timetables

In HvA Timetables you can choose which timetables to connect to your smartphone or tablet, or to your calendar application. You might just want to view a few timetables in HvA Timetables, and not synchronise them with your connected smartphone, tablet or calendar application.

Synchronised timetables

See below how to choose which timetables to synchronise with your connected smartphone, tablet or calendar application:

  1. Go to https://rooster.hva.nl/ in your web browser.
  2. Click the button Connect calendar Button.
  3. From the menu choose Synchronised timetables.
  4. Check all timetables you want to connect and uncheck all timetables you don't want to connect.
  5. Click Close.

Adding a timetable

When adding a timetable the option Synchronise these timetables with external calendar applications is available. If this option is checked, the added timetable will be synchronised with your connected smartphone, tablet or calendar application immediately. Uncheck this option if you don't want to synchronise the timetable.

Please note: The Synchronise these timetables with external calendar applications option setting will be saved. If you uncheck the option, it will also be unchecked for the next timetable you add.

The 'Synchronise these timetables with external calendar applications' option determines whether a timetable will be synchronised with your connected calendar. Downloading and printing

You can download your timetable in several formats, as a PDF or CSV file, for instance. The various options are available in the Download menu Download button.

Printable PDF file

If you want to print your timetable, you can choose a PDF file. The timetable will be displayed in A4 format for easy printing. You can choose a weekly view, in which each week is displayed on a separate page, or you can choose a list view, in which all activities are listed one below the other.

  1. Click the Download button Download button.
  2. Choose Printable PDF (week) or Printable PDF (list).
  3. A window is displayed. Here, choose the date range you want to display in the file.
  4. If desired, you can also set options such as deduplicating activities or including a list of titles of added timetables.
  5. If you've chosen a list, the option Combine per day of week is available, which combines all selected weeks into one weekly timetable. An additional Weeks column will be displayed, showing in which weeks the activity takes place.
  6. Click the Download button.

CSV file (Microsoft Excel)

If you want to use the timetable as a list in Microsoft Excel, you can download a CSV file.

  1. Click the Download button Download button.
  2. Choose CSV (Excel).
  3. A window is displayed. Here, choose the date range you want to display in the file.
  4. If desired, you can also set options such as deduplicating activities or including a list of titles of added timetables.
  5. Finally, you can choose a column delimiter. The correct delimiter for Microsoft Excel depends on the language and country settings on your computer. If you can't open the file, you can try again with a different delimiter.
  6. Click the Download button.

iCalendar file

You can open an iCalendar-, or iCal file for short, using calendar applications such as Microsoft Outlook or Apple Calendar. These files contain the timetable as it is the moment the file is created. The timetable will not automatically update when it is changed.

  1. Click the Download button Download button.
  2. Choose iCalendar.
  3. A window is displayed. Here, choose the date range you want to display in the file.
  4. If desired, you can also set options such as deduplicating of activities or warnings before the start of an activity.
  5. Click the Download button.

Frequently asked questions

    My timetable is empty. Why?

    Check whether you have selected the correct date in the calendar in the bottom right of the screen. Also check whether you have added your timetable(s) to HvA Timetables and whether your timetables are enabled.

    Check that you're in the correct view. HvA Timetables contains a timetable view and a location view. You can switch between these views by clicking Timetable view or Location view in the top right of the menu.

    There are missing classes in my timetable. Why?

    Check whether you've personalized your timetable correctly, for example by verifying whether you have disabled certain courses or chose the correct group for a course. Maybe you applied filters in HvA Timetables. In that case, check whether the filters are set correctly.

    All my courses start too early or too late. How do I fix this?

    Your time zone might be set incorrectly. Click Settings in the top right of the screen. Check your time zone settings.

    How often will my connected timetable update in my smartphone, tablet or calendar application?

    This depends on the calendar application or app you're using.

    • On an Android smartphone, your calendar is updated about every 6 hours.
    • On an iPhone and iPad, your calendar is updated hourly by default.
    • On a Windows phone, it depends on the way you connected your calendar (for example using Outlook.com).
    • Microsoft Outlook updates your calendar hourly by default.
    • It's unknown how many times Outlook.com updates your calendar.
    • Apple Calendar allows you to decide how many times your calendar is updated. Take this into account when connecting your calendar!
    • Google Calendar updates your calendar about every 6 hours.

    When in doubt whether your connected timetable has been updated, you can check https://rooster.hva.nl/ for an updated timetable anytime.

    My connected timetable is not being updated anymore or has missing activities. What should I do?

    First check whether the correct timetables are being synchronised. To do this, please refer to Choosing synchronised timetables. You can also refer to question 4 to check how many times your connected timetable is being updated.

    If this doesn't solve the problem, we recommend reconnecting your smartphone, tablet or calendar application. To do this, follow these steps:

    1. Disconnect your timetable from your smartphone, tablet or calendar application.
    2. Reconnect your timetable with your smartphone, tablet or calendar application.

    My connected timetable contains too many activities. What should I do?

    Check whether the correct timetables are being synchronised. To do this, please refer to Choosing synchronised timetables.

    Someone else connected my personal timetable to a smartphone, tablet or calendar application. How do I revert this?

    Each connected personal timetable contains a unique code. You can reset this code by clicking Settings in the top right of the screen and opening the tab Applications. Next, click the link Click here to reset your personal links.

    Please note: The old connections to your smartphone, tablet or calendar application won't be working anymore. Please reconnect your smartphone, tablet or calendar application.

    Can I choose which timetables should be synchronised with my connected calendar?

    Yes, this is possible. Please refer to the Choosing synchronised timetables section for more information.
